It is ten minutes before class. A student wants to confirm a payment, an instructor needs the updated roster, and someone has just called to ask whether there is still a seat available. The answers exist, but finding them means checking a spreadsheet, an inbox, and a note left on the desk.

If you run a training school, that situation may feel familiar. You can have a strong program and a committed team while still spending too much of the day piecing information together.

That is the problem at the heart of Steams Online. In the video below, founder Craig Ricketts explains why small businesses need software that fits their work, respects their resources, and comes with people willing to help.

Training school management software helps organize the work surrounding a course: registration, student records, payments, communication, and completion. Steams Online brings these functions into one platform so training providers can manage more of the student journey in one place.

This article builds on Craig's explanation with practical ways to evaluate and improve your school's daily operations.

Inside Steams Online: Improving your business

In this founder interview, originally published in December 2020, Craig discusses the thinking behind Steams Online. The video reflects the platform at that time; the product information linked below was checked in September 2026.

Why everyday administration can become a barrier to growth

Craig describes three problems that brought businesses to Steams Online: disorganized manual work, software that strained their budgets, and tools that did not meet their actual needs.

For a training provider, these problems can show up in ordinary moments:

  • A prospective student asks a question, but nobody knows who should follow up.
  • A registration arrives, but the class roster is updated separately.
  • A staff member records a payment without enough information to match it to a student.
  • A learner finishes a course, but the office must track down the records needed to issue a certificate.

Each task may look small on its own. Together, they create repeated interruptions and make it harder for staff to give clear answers.

Start by identifying where information gets entered twice, where responsibility is unclear, and where students regularly need help. Those are useful places to look for improvement.

Make online class registration easier to complete

A prospective student's first experience with your school often happens before they meet an instructor. They find a course, compare dates, review the cost, and try to register.

Think of someone looking for an evening class after work. Before committing, they need to know which session fits their schedule, what they must provide, and what happens after they submit the form.

A useful registration page answers those questions in the order they arise:

  • What will I learn, and who is this course for?
  • When and where does the class meet?
  • What does it cost, and when is payment due?
  • Which information or documents do I need to submit?
  • Does submitting this form confirm my place, or is another step required?

Steams Online's class registration tools include customizable forms, document attachments, mobile-friendly registration, confirmation messages, and integrated payment options.

Put those tools to a practical test. Complete a sample registration on your phone. Read the confirmation as if you were a new student. Ask a colleague who did not set up the form to try it too. Their questions can reveal instructions your team has become too familiar with to notice.

Keep student information connected to the work it supports

A registration form starts a relationship that may continue through attendance, assessments, payment questions, and course completion.

The challenge is keeping that history useful as different staff members become involved. An instructor needs information about learning and attendance. An administrator may need to resolve an enrollment issue. The person handling accounts needs an accurate payment record.

Steams Online's student management tools bring together enrollment history, attendance, grades, payment status, and certification information. The platform also provides email and SMS communication tools.

To make those records dependable, decide who updates each part of the student record and when. A central system still needs clear ownership. For example, the instructor might record attendance after each class, while the office reviews enrollment changes before the next session.

The goal is straightforward: when someone asks a question, the appropriate staff member should know where to find a current answer.

Treat payment questions as part of student service

For a student, a payment question can quickly become an enrollment question: “Did you receive my deposit?” “What do I still owe?” “Can I attend the first class?”

Your school should have a clear way to connect a payment with the student, the course, and any remaining balance. It should also distinguish between money received and other requirements that must be completed before attendance.

Steams Online lists online payments, invoices, receipts, payment plans, and account balances among its billing and payment capabilities.

Before introducing or changing a payment process, work through a few realistic situations with your team. Try a partial payment, a change of class, and a payment made by an employer. Decide what the student should receive and what staff should be able to see in each case.

Clear policies and usable records help your team respond consistently when a student needs an explanation.

Choose software your staff can use in a real working day

A feature list is a starting point. The more useful question is whether your staff can complete the work that regularly lands on their desks.

During a demonstration, bring examples from your own school. Ask to see how a team member would:

  • Find a student and check their enrollment status.
  • Update information without creating a duplicate record.
  • Confirm a payment or identify an outstanding balance.
  • Send a relevant class update.
  • Review attendance or course progress.
  • Locate the information needed for a completion certificate.

Pay attention to the steps involved and the explanations your staff need. Ask what setup, training, and ongoing support are available. Different schools have different starting points, so plan the transition around your team and records.

When comparing costs, include the subscription, relevant transaction or messaging charges, setup work, and staff time. Ask which functions are included in the plan you are considering.

Start with one course and a clear handoff

You do not have to redesign every administrative process at once. A manageable starting point is one upcoming course with a clearly defined registration process.

  1. Choose the problem. Pick a recurring issue, such as incomplete registrations or uncertainty about payment status.
  2. Map the steps. Write down what happens from the first inquiry to a confirmed place in class.
  3. Assign responsibility. Identify who reviews documents, checks payments, answers questions, and updates records.
  4. Test the journey. Use sample student information to check registration, confirmation, and the staff view before inviting real applicants.
  5. Review the results. Ask students where they needed help and staff where they still repeated work.

Keep the review specific. Count how many registrations needed a follow-up call or record how long it took to answer a typical account question. Compare the same tasks after the process changes. Your own experience will tell you where the setup is helping and where it needs adjustment.

Support should be part of the decision

One of the strongest themes in Craig's interview is partnership. He describes a business built around helping clients succeed and being available when they need assistance.

That matters when your office is preparing for a new cohort or trying to resolve an unfamiliar problem. Before choosing a system, ask who provides onboarding, how support requests are handled, and what help is available for your specific setup.

Include the people who will use the software in those conversations. They often know which everyday questions a sales presentation has not yet answered.

Questions training school owners often ask

What is Steams Online?

Steams Online is a platform for class registration and student management, with tools for payments, communication, learning, and certificates. It is designed to help organizations manage training administration across the student journey.

Can students register and pay for classes online?

Yes. Steams Online provides online class registration and integrated payment options. During setup, confirm the payment methods and enrollment steps your school needs, including any review required before a place is confirmed.

Can software replace our spreadsheets?

It can take over tasks that spreadsheets currently support, depending on your requirements and configuration. Start by identifying what each spreadsheet does, which records must be transferred, and which reports your team needs. Verify the results before retiring an existing process.

How should we decide whether the platform fits our school?

Use a demonstration to follow a realistic student journey, from registration through payment, learning, and completion. Involve your staff, ask about the full cost, and confirm how the system handles your school's exceptions as well as routine work.

Give your team more room to focus on students

When the day starts with a roster question, a payment question, and a new inquiry, your team needs a reliable way to handle all three.

Better organization begins with a clear process and tools that support it. For your school, that may mean improving one registration form, bringing student records together, or making payment information easier to find.

Want to see what that could look like for your programs? Schedule a Steams Online demonstration and bring one administrative challenge you would like to solve. Walk through it with the team and see how the platform fits your school's work.
